Room to Rest.

Booking, intake & account privacy

Your details.
Handled with care.

Appointment details

Room to Rest uses your name, email, optional phone number, appointment details, and payment status to arrange and manage your visit. If you choose the team-member rate, we also record your sport, team name, and eligibility confirmation.

Your account and client profile

Sign-up asks for a username and email. You can sign in with either; password recovery uses your email. The website stores a private link between your username, account identifier and sign-in email. Choosing a username does not make it public. If you use a verified email account, this website also records your name and the dates your profile was created and last verified here. Christopher’s private client directory brings together that profile, bookings linked to the same account, and their intake records. Guest booking contacts are listed separately and are not automatically attached to an account just because an email address matches. Creating an account does not subscribe you to marketing messages.

Community updates, comments and photos

Community posts and approved comments are public and may be read by anyone. Comments and public profile changes are reviewed before appearing. Please do not include private health information, contact details, or someone else’s personal information in a comment. Your private intake, legal name, email, phone number, and appointment details are not copied into the community area.

Your account username is also your community identity. You can add an optional profile photo. Adding a photo is encouraged, never required to book. Before commenting, you choose whether to show your username and photo publicly with your comments. Choosing a username does not turn on public sharing. Uploaded photos are cropped and resized, and embedded metadata is removed. Use a photo you have permission to share. The photo is stored in the website’s file storage; it is not added to your clinical history.

You can change or remove your photo, turn off public profile sharing, and remove your own comments. Turning off public sharing hides your community identity and photo from existing comments but does not remove their text. Removing your own comment clears its text; basic moderation identifiers and status may remain. Public content can be copied by others while it is visible, so removal cannot erase copies made elsewhere. Christopher can approve or hide comments and profiles, archive posts, and restrict community posting without changing bookings or private care records.

Reports store your account identifier, the reported item, a selected reason and review status, not a separate copy of its text. They are private to the owner. Blocks store which member you chose to hide and affect comment visibility for your signed-in account. You can manage blocked members in the community area. Read the community guidelines before contributing.

Health history and consent

We ask for your date of birth, massage goals, relevant health history, areas of concern or avoidance, comfort preferences, and electronic signature. When email accounts are available, a verified account can save this history in a private profile. Its signature acknowledges the history and storage; it is not advance consent to future treatment. Please provide only information relevant to massage. You can choose “Discuss” for a health question and speak privately with Christopher before treatment.

When booking with a saved profile, review whether your health information has changed and update it if needed. Confirm the history, your goals for this visit, and fresh massage consent before payment. Guest bookings still collect a complete intake for each new appointment. A parent or legal guardian must provide the appropriate acknowledgment and consent for a client under 18. Your appointment keeps its own dated snapshot and signature; later profile edits do not overwrite it.

Health answers and signatures are stored as encrypted records separately from ordinary booking data. You can access your own saved profile after verified sign-in; Christopher can open it and appointment intakes through the authenticated owner dashboard. Access, saving, and review actions are recorded without copying your answers into the access log. Submitting a form does not mean you have been medically cleared or that treatment has been approved.

Connecting the mobile app

If you connect the Room to Rest app, you approve a specific device after signing in and comparing its connection code. We store the account identifier, device name you supplied, connection dates, and a one-way hash of its access credential. Customers can read only their own account-linked appointments. The approved therapist can also see client names. This connection does not expose health history, signatures, contact details, payment credentials, or permission to change bookings.

Connections expire after up to seven days for customers or thirty days for the therapist. You can review and disconnect them on the connected devices page. Disconnecting stops future server access; it cannot erase information already viewed on another device. The app clears its local schedule when it learns that access has expired or been revoked. Customer app access is available only when current account-status verification is configured.

The app keeps its access credential in the device’s protected Keychain. Its widget uses a protected, short-lived copy containing appointment times and lengths, not client names, contact details, prices, or health history. The widget copy expires after one hour and is refreshed when the app syncs. The app’s screen is covered when it enters the background.

Optional appointment notifications

When enabled and available, appointment alerts are optional. Local reminders are scheduled on your phone and can become out of date if the app has not synced after a change. Remote alerts require your permission, Apple push-notification configuration, and a current device connection. We store the Apple delivery token encrypted and use it only for appointment notifications. Apple receives the delivery token, a generic alert, and an opaque appointment identifier when needed to open the correct appointment. Alert messages do not include your name, health history, signature, or payment details. Delivery and display depend on Apple, your connection, and your device settings and are not guaranteed.

You can turn off alerts in the app or disconnect the device. Already delivered notifications may remain in Notification Center until you remove them. When remote alerts are successfully enabled, the app clears its separately scheduled local reminders to avoid duplicate reminders.

Service providers and sharing

The website uses OpenAI Sites and Cloudflare hosting and database services. Firebase verifies passwords and handles account verification and recovery emails. For username sign-in, the website securely forwards the submitted password to Firebase to check it against the linked account before completing sign-in. Room to Rest does not store or log your password. Stripe handles card details. Appointment contact and scheduling details are used for confirmations and the therapist’s business calendar. Apple provides notification delivery when remote app alerts are enabled.

Your health answers and consent signature are not included in Stripe checkout metadata, calendar events, booking emails, app notifications, or owner text/Telegram alerts. We do not use this intake for advertising. Confidential records may be disclosed with appropriate authorization or where required by law.

Keeping and correcting records

Massage records are retained for at least six years from the date of service, and longer where legally required. Cancelling a booking or requesting account deletion does not automatically erase records we must retain. Signed submissions are preserved as originally submitted. Saving an updated profile creates a new revision, not a replacement of earlier signed history or appointment records. Contact Christopher about corrections to an existing appointment’s record.

Open Delete my account for the current request method and status instructions. Deleting an account removes its sign-in access, username, profile photo and community comments; it does not cancel or refund an appointment. Required treatment/payment records stay private, separate from public content. A history with no documented service date requires review rather than an assumed retention period. An account-closure marker prevents old sessions from recreating the deleted profile. Deletion status uses a private, expiring receipt without health answers or contact details.

To request access, a correction, a copy, or deletion where permitted, contact hello@roomto.rest or 574-888-0801. Please do not include detailed medical information in an ordinary email. We will arrange an appropriate way to handle your request and verify your identity.

Your choices

Guest booking is available. Online booking requires this intake and consent before payment. If you prefer to discuss an alternative or complete a paper intake, contact Christopher before booking. You may change your treatment preferences or withdraw consent to massage at any time. The payment and cancellation policy is acknowledged separately and does not take away that choice.

Guest appointment details remain accessible through private confirmation links; those links do not expose your health history. This website does not enroll you in marketing emails when you book.
